Stock tracking for items

Stock tracking links an item to the materials it uses. When staff sell the item, Nuvioo takes those materials out of your stock.

  1. Open the item

    In Items, click Add New or open an item with Edit. On the Items tab, scroll to Manage stock. Products and add-ons both have it. Combos and services don’t.

  2. Tick Manage stock

    Tick Manage stock. If you don’t want stock tracking, leave it unticked and skip the materials.

  3. Choose the materials

    Click Choose available materials and pick each material the item uses. Each one is added to a table with these columns:

    Column What it is
    Name The material.
    Measure unit The unit this item uses, for example grams or millilitres. Pick from the units that material supports.
    Quantity How much of the material one item uses.

    Click the delete icon at the end of a row to remove a material. A material you already added can’t be picked twice.

  4. Save

    Click Complete. If no material is chosen, you see Please choose material and the form doesn’t save.

Setting What it does
Manage stock Turns stock tracking on. Unticking it clears the materials you chose.
Allow back order Tick it to keep selling the item when stock runs out. If it is unticked and stock runs out, Nuvioo rejects the sale and lists the items that are out of stock.

When the item has sizes, each size gets its own materials table, headed by the size name. Fill in the sizes that use stock. At least one size must have a material.

Click Add new material to create a material without leaving the form. A window asks for the Material name and the Measure unit, and has an Add new unit button for a unit that doesn’t exist yet. You only see Add new material if your role can create materials.

  • The material name is required and must be new. You see This material name already exists if it isn’t.
  • The measure unit is required. You see Must be selected at least one unit. if it is empty.
  • A unit has a Code and a Name, and both are required. A repeated code shows This unit code already exists.

The Stock quantity column in Items shows the stock left for items that track stock. For other items it shows -.

Click the number to see the quantity at each location. For an item with sizes, the pop-up lists each size.

Use Re-stock to add materials to stock without leaving the Items page.

  1. Open Re-stock

    Click ⋮ on the item’s row and choose Re-stock. The option only shows for items that track stock.

  2. Choose where it came from and where it goes

    In Transaction information, pick the Vendor and the Warehouse. If you have only one of either, Nuvioo uses it.

  3. Enter quantities

    The table lists the item’s materials with Ingredient, Measure, Quantity, Unit cost and Total. Enter a Quantity only for the materials you’re adding. Leave the others at 0. A disabled material is greyed out and shows Disabled ingredient on hover.

  4. Save

    Click Re-stock. If every quantity is 0, you see Please input at least quantity of ingredient better than 0.

If your role can’t create inventory transactions, Re-stock is greyed out. Hover to see You don’t have permissions to re-stock.
