Quotes

A quote is a price offer you send to a customer. The customer can approve it, sign it and pay online. Each quote is linked to a deal.

In the sidebar, under Sales, click Quotes.

The list shows each quote’s name and number, Amount, Status, Quote owner, Date created, Expiration date, Contact and Deal. Click a column heading to sort. Click a contact or deal to open it.

  • Search: type a quote name, a quote number or a contact name.
  • Filter: click the filter icon next to the search box, set any of the fields below, then click Apply. Clear filters resets them.
Filter What it does
Contact Quotes for the selected contacts.
Status Quotes in the selected statuses: Draft, Pending, Signed, Approved or Paid.
Quote owner Quotes owned by the selected staff members.
Amount A range from $0 to $10,000 in $100 steps. Leave the top at $10,000 to include larger quotes.
Deal Quotes linked to the selected deals.
Date created A start and end date.
Date expiration A start and end date.

Click ⋯ on a row to View a quote. For a Draft or Pending quote you can also Edit or Delete it.

Click Create quote. The builder has five steps: Quote setup, Products & Services, Terms & Conditions, Format and Review. Every step saves your work as a draft, so you can leave and come back through Edit.

  1. Quote setup

    Fill in the quote details, choose the deal, then click Next. This creates the quote as a Draft.

  2. Products & Services

    Add the line items, set discounts and tax, and optionally turn on a payment plan. Click Next.

  3. Terms & Conditions

    Write the Notes, Terms & Conditions and Contact us text that print on the quote. Click Next.

  4. Format

    Choose the template, brand color and logo, and check the preview. Click Next.

    Choose how the customer signs and whether they can pay online, then click Send quote.

Field Required What it does
Quote name Yes Your own label for the quote.
Contact Yes The customer who receives the quote. You can’t change it after you click Next.
Quote owner Yes The staff member who owns the quote. You can’t change it after you click Next.
Quote date Yes Defaults to today.
Expiration date Yes Defaults to tomorrow. It must be after the quote date.

Under Deal, choose one option.

  • Create a new deal: pick a Pipeline, then a Stage. The stage is required once you pick a pipeline. When you save the Products & Services step, Nuvioo creates a deal with the quote’s products and amount. Its close date is the quote’s expiration date. If you skip the pipeline, no deal is created.
  • Associate with an existing deal: optionally narrow the list by Pipeline and Stage, then pick the Deal.

Click Add products and tick the products to include. You can also create a product from the picker with Add new product. See Services and products. Each line has these fields.

Field What it does
Unit price Starts at the product price. You can change it for this quote.
Quantity At least 1.
Discount A dollar amount taken off the line. It can’t be more than unit price times quantity.
Billing Frequency One-time payment, Weekly, Bi-weekly, Monthly, Quarterly, Semi-annually or Annually.
Billing Term For recurring lines: Auto-renew until cancelled or Fixed term.
Number of Terms For a Fixed term: how many weeks, months or years to bill, up to 999.
Tax rate (%) Pick one of your active tax rates, or clear it for no tax.
Total The line price after the discount, with the tax amount shown under it.

Use the bin icon to remove a line.

  • Line math: the line price is unit price times quantity, minus the discount. Tax is the tax rate applied to that price.
  • Recurring lines match: all recurring lines on a quote share one frequency, billing term and number of terms. Change one and the others follow. One-time lines are not affected.
  • Fixed term counts: Bi-weekly needs an even number, Quarterly a multiple of 3 and Semi-annually a multiple of 6.
  • Totals: below the table you see Subtotal, the tax on one-time lines, the tax on recurring lines and the Total. With recurring lines, the Total becomes Due now plus Future payments per frequency.

The three fields use a text editor. For a new quote they start with your defaults from Calendar settings. Your edits apply to this quote only.

Setting What it does
Select template Standard or Modern. The preview updates as you choose.
Brand color The accent color. Pick one of the Recommended colors or your own. It starts with your business color.
Brand logo Required. It starts with your business logo. Upload another to replace it.

Signature options No signature or E-signature.
Accept online payments On by default. When on, the customer pays right after they approve or sign. When off, the quote completes without payment.
Required signatures With E-signature: the contact is always a signer.
Select counter signers With E-signature: add staff members who also sign.

Click Send quote. Nuvioo emails the quote link to the contact and sets the quote to Pending. With E-signature, it also turns the preview into a PDF and starts the signature request. A Your quote is ready! window then shows the link to copy. Click away to go back to the list.

Status Meaning What you can do
Draft You haven’t sent it. The customer’s link shows “Quote is being updated”. Edit, delete, or finish and send it.
Pending Sent and waiting for the customer. View, edit, delete, copy the link.
Expired A Pending quote whose expiration date has passed. The customer can no longer sign or pay. Edit the expiration date, then send the quote again.
Approved The customer approved it with online payment off, or the total was $0. View.
Signed An e-signature quote with online payment off, and the customer signed. View, download the signed PDF.
Paid The customer paid online. View.

Expired is a label the list shows, not a separate stage. A quote leaves the Pending filter once it expires.

Click ⋯ then View to open the quote as the customer sees it.

  • Download: the download icon saves a PDF named after the quote number. For an e-signature quote that at least one person has signed, it downloads the signed document instead.
  • Share: the share icon, then Share, shows the link to copy. For a quote with e-signature, each signer who hasn’t signed has their own link.

You can edit or delete a quote only while it is Draft or Pending. Editing opens the same five steps. The contact and owner stay locked.

Deleting a quote also removes its line items and payment plan. This can’t be undone.

Signing happens inside Nuvioo, using a secure Dropbox Sign window. The customer and each counter signer sign the same PDF. All emails come from Nuvioo; signers don’t need a Dropbox Sign account.

  • Customer: gets the quote email and signs on the quote page with Sign now. See Approving and signing a quote.
  • Counter signers: staff you chose in Review. Each one gets an email from Nuvioo with their own signing link, which opens a signature page in Nuvioo.
  • Payment waits for signatures: with online payment on, the customer can only pay after every party has signed.
  • Signing links: to send a signer their link again, open the quote, click the share icon, then Share, and copy the link next to their name.

When online payment is on, the customer picks a payment method and pays the amount due now. If you pass on a processing fee, it’s added to that amount. The contact needs a phone number on file to pay online. When they pay, Nuvioo creates an invoice and marks the quote Paid. With a payment plan it creates one invoice for each installment and charges the first.
